Terms of sale and use

Last updated 20 October 2026

1. Who we are

Donor Schedule is a trading name of CHENFLOW LIMITED, a private limited company registered in England and Wales, company number 12064784, whose registered office is at 5th Floor, 167-169 Great Portland Street, London, W1W 5PF. In these terms "we", "us" and "our" mean CHENFLOW LIMITED. You can contact us at hello@donorschedule.co.uk.

2. Who these terms are for

Donor Schedule is sold to organisations, such as charities, community amateur sports clubs and community groups, and to the people who work or volunteer for them. By buying a licence you confirm you are acting for an organisation and not as a consumer.

3. How you buy

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service enquiries about payments and handles returns. Paddle's own buyer terms apply to the purchase itself.

4. What you get

  • Free check: you may use the checker to load and review your files at no cost.
  • Annual licence (£59 a year): lets you build Gift Aid schedule files for 12 months from the date of purchase. It renews automatically each year until you cancel.
  • Single claim licence (£15): lets you build the files for one claim of up to 1,000 donations, and rebuild them as often as you need for 30 days from purchase.

A licence may be used by the people in your organisation who prepare its Gift Aid claims. Please do not share your licence key outside your organisation.

5. Your responsibilities

  • You are responsible for your Gift Aid claim. That includes holding valid Gift Aid declarations, making sure each donation is eligible, checking the finished file, and submitting it to HMRC.
  • You are responsible for having a lawful basis to use your donors' personal data. Donor Schedule processes that data only in your own browser, and we never receive it.
  • Please do not try to get round the licence check or copy the software to sell or give to others.

6. What we do and do not promise

  • We take care to follow HMRC's published template and guidance, and we update Donor Schedule when they change. We cannot promise HMRC will accept any particular claim, because acceptance depends on your data and on HMRC's own checks.
  • Donor Schedule is a formatting and checking tool. It is not tax, legal or accounting advice. If you are unsure whether a donation qualifies for Gift Aid, please ask HMRC or a qualified adviser.
  • Donor Schedule is not affiliated with, approved by or endorsed by HMRC.
  • We aim to keep the service available, but it may sometimes be unavailable for maintenance or for reasons outside our control.

7. Cancelling and refunds

You can cancel an annual licence at any time from the link in your receipt email, and it will not renew. Our refund policy explains when we give refunds.

8. Liability

Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud. Otherwise, we are not liable for indirect or consequential loss, or for loss of Gift Aid, income or data, and our total liability to you is limited to the amount you paid us in the 12 months before the claim arose.

9. Changes

We may update these terms, for example when the law or HMRC's process changes. The version on this page applies from the date shown above. If a change materially affects an annual licence you have already paid for, we will tell you by email before your next renewal.

10. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
